Overview

This role involves supporting immigration legal processes by preparing and managing immigration filings and client communications. The position requires hands-on assembly of petition packets, direct client interaction, and coordination with legal staff to ensure timely and accurate submissions.

Responsibilities

  • Draft immigration legal documents, including forms, supporting documentation, and client correspondence such as document requests and status updates.
  • Assemble immigration petition and application packets manually, ensuring all required forms and exhibits are accurate, complete, and properly organized before submission.
  • Communicate directly with clients to request missing documents, confirm receipt, answer routine questions, and provide status updates.
  • Track the status of filings and deadlines, identifying missing information or documents needed to keep cases on schedule.
  • Manage incoming and outgoing mail related to immigration practice, including sorting, logging, and routing time-sensitive correspondence and filings.
  • Maintain organized physical and digital case files through scanning, filing, and data entry.
  • Coordinate with attorneys and legal staff to confirm packet requirements and ensure timely submissions.
  • Handle sensitive client documents such as passports, identification, immigration records, and medical records with accuracy and confidentiality.

Requirements

Must-Haves

  • Experience in immigration legal work, such as in a law firm, legal administration, paralegal, or similar role within an immigration practice.
  • Self-motivated with the ability to independently drive case progress and manage priorities with minimal supervision.
  • Comfortable performing high-volume, hands-on, manual tasks.
  • Exceptional attention to detail to identify missing documents and errors before they become issues.
  • Strong organizational skills to manage multiple cases and deadlines simultaneously without losing track.
  • Clear and professional communication skills, both verbal and written, comfortable serving as a direct point of contact for clients.
  • Trustworthy in handling sensitive and confidential client information.
  • Ability to thrive in a fast-paced, deadline-driven legal environment.

Nice-to-Haves

  • Experience with specific immigration filing types such as family-based or employment-based petitions.
  • Experience working in a technology-driven or startup environment.
  • Familiarity with immigration case management software.
