Overview

This role is for an IP Admin Senior Analyst to join a Filing and Prosecution Team. The position provides filing and prosecution support through docketing, paralegal services, recordals, Information Disclosure Statements (IDS), and/or reference management to customers, with a focus on delivering excellent service.

This position is subject to U.S. export control requirements under the Export Administration Regulations ("EAR") and International Traffic in Arms Regulations ("ITAR").

Responsibilities

  • Interact with internal and external stakeholders, organizing and delivering information appropriately in a virtual, highly matrixed, and global environment.
  • Plan and organize tasks to achieve objectives while adhering to organizational policies and procedures.
  • Process incoming and outgoing domestic and international communications in IP management software.
  • Routinely review and file prosecution-related documents with the USPTO for all stages of prosecution.
  • Coordinate and facilitate timely instructions to foreign agents to meet deadlines for non-US patent or trademark prosecution.
  • Manage, create, and maintain documents on behalf of customers as directed, including scanning and filing incoming documents, retrieving and sending requested documents, handling unfiled matters, and managing file intakes and file transfers.
  • Prepare documents for signature and collaborate with customer contacts to fulfill requirements of various patent offices, including:
    • Intellectual property applications (domestic and international)
    • Information Disclosure Statements (IDS)
    • Formalized priority claims
    • Formal documents such as ADS, Power of Attorney, PCT forms, and other forms as needed
  • Maintain customer docket(s), run reports as appropriate, and correspond internally and externally regarding deadlines and application status.
  • Develop and maintain working knowledge of domestic and international intellectual property office rules and procedures.
  • Assist in establishing policies and procedures to ensure quality improvement efforts meet or exceed internal and external customer needs and expectations.
  • Document and track daily work in a time-tracking system within prescribed deadlines and SLA’s.
  • Liaise with other business areas (as defined) to meet customer expectations and adhere to agreed or required service levels.

Requirements

  • Associate’s degree or equivalent relevant work experience.
  • 2+ years of patent docketing experience.
  • Experience using IP management software.
  • Proficiency with Microsoft Suite: Outlook, Word, and Excel.

Preferred Qualifications

  • 2+ years of experience using Memotech, Foundation IP, The IP Management System, Inprotech, or IPFolio.
  • Experience with U.S. and foreign patent docketing and trademark filing & prosecution.
  • A paralegal certificate from an ABA approved program (plus).
  • Work experience in the pharmaceutical industry.

Compensation & Benefits

  • Base salary (US only): $50,000 - $70,000 USD per year.

Location & Hours of Work

  • Full time, permanent position.
  • Remote position working in the United States, preferably in CST or EST.
