Overview
This remote Paralegal position in Contracts & Compliance supports the Legal and Compliance Department through contract administration, regulatory and licensing support, and daily legal operations. The role involves preparing contracts and related documents from standard forms, managing legal ticketing and tracking processes, maintaining contract files and databases, and ensuring timely follow-up on approvals, execution, and common redlines. Additional responsibilities include assisting with licensing applications, renewals, reporting, subpoena coordination, legal research, and maintaining HIPAA-related documentation and departmental standard operating procedures (SOPs).
Responsibilities
Contracting Duties
- Prepare client and vendor contracts and other legal documents from standard forms for review and approval by Legal Counsel.
- Assist with the online legal ticketing system by reviewing inquiries, preparing documentation, responding to tickets, maintaining organization, and meeting turnaround expectations.
- Maintain internal databases for ticket and contract tracking.
- File correspondence and legal documents in the companywide contracts database or file server.
- Follow up on client and vendor contracts and other legal documents sent out by the Legal Department.
- Respond to redlines on common or standard requests in a timely manner.
- Assist with Request for Proposal (RFP) tasks as needed.
Regulatory and Licensing Duties
- Coordinate, prepare, and submit applications for all licenses and registrations to ensure timely submissions and maintain licensing files.
- Coordinate, prepare, and submit annual reports and renewals for licenses and registrations.
- Coordinate, prepare, and submit responses to subpoenas.
- Conduct legal research and analyze statutes, judicial decisions, legal articles, and codes.
General Legal Support Duties
- Complete and demonstrate competency in all required HIPAA training.
- Comply with all HIPAA obligations related to Protected Health Information (PHI).
- Report any HIPAA violations to the Compliance Department.
- Assist in maintaining updated HIPAA policies and procedures.
- Maintain and update Standard Operating Procedure documents for the Legal Department.
- Manage the legal calendar and inboxes, maintaining organization and responding timely to inquiries.
- Perform clerical duties such as scheduling appointments and providing information to callers.
- Support Legal Counsel, Manager, and Administrator with various tasks as needed.
- Participate in special legal projects as assigned.
- Perform other legal and compliance duties as assigned.

Education and Experience
Required
- Bachelor's degree (B.A.) or one to two years of related experience and/or training; or equivalent combination of education and experience.
- High degree of professional ethics and integrity.
- Sound judgment and ability to analyze situations and information.
Preferred
- Healthcare compliance or paralegal certification.
- Additional legal research certifications and coursework.
- Experience with business registration or healthcare licensure applications with state authorities.

Work Schedule and Location
- Remote position
- Some flexibility in hours, with availability required during core work hours of 8:00 AM to 5:00 PM Central Time.
- Work times must accommodate meetings across all U.S. time zones.
- Ability to work extended hours, weekends, and holidays as needed.
- No travel expected.
