Overview

The organization is seeking a Pre-Litigation Operations Manager to oversee the day-to-day operations of the firm’s pre-litigation team. This role will manage Case Managers and their Team Leads, ensuring workflows run efficiently, accurately, and in alignment with firm standards. You’ll connect legal teams and operations/performance to help cases move smoothly from intake through litigation while maintaining quality, compliance, and productivity.

This position is part of a fully remote team.

Responsibilities

  • Directly manage, mentor, and support pre-litigation paralegals and team leads

  • Assign workloads, monitor performance, and ensure coverage across all teams

  • Conduct regular check-ins, performance reviews, and coaching sessions

  • Assist with hiring, onboarding, and training of new paralegals and team leads

  • Foster a collaborative, accountable, high-performing team culture

  • Oversee case workflows to ensure timely progression

  • Identify workflow bottlenecks and implement process improvements

  • Coordinate with attorneys to ensure paralegal support aligns with case strategy

  • Ensure accurate case documentation, reporting, and data entry

  • Develop, maintain, and refine standard operating procedures for pre-litigation support

  • Ensure compliance with firm policies, ethical standards, and jurisdictional requirements

  • Monitor case metrics and KPIs to evaluate efficiency and performance

  • Implement best practices to improve productivity, quality control, and client service

  • Work closely with intake, medical records, demand, litigation, and settlement teams

  • Serve as a point of contact for operational issues affecting case flow

  • Communicate staffing needs, workload trends, and operational challenges to leadership

Requirements

  • 5+ years of experience in a law firm environment, with pre-litigation and/or litigation cases
  • Prior experience managing paralegals or legal support staff required
  • Strong understanding of personal injury or civil litigation processes (preferred)
  • Excellent organizational, leadership, and communication skills
  • Ability to manage competing priorities in a fast-paced environment
  • Proficiency with case management systems and legal software

Preferred Qualifications

Compensation & Benefits

  • Base Salary: $109,900 - $141,100, commensurate with experience
