Overview
This role involves managing all administrative tasks related to the legal process of nonjudicial foreclosure. Responsibilities include preparing and editing correspondence, advertisements, and legal documents; maintaining paper and electronic files; updating internal and client systems; and handling communications with clients, borrowers, and other external parties. The position requires coordination with legal assistants and attorneys within a multidisciplinary team. Work arrangements can be hybrid (based in Roswell or Birmingham) or fully remote depending on experience.
Responsibilities
- Draft, prepare, and format memoranda, correspondence, advertisements/postings, deeds, assignments, and other legal documents.
- Ensure timely and effective delivery of outgoing mail, messenger and overnight deliveries, and facsimiles.
- Field calls from borrowers, clients, courts, and other outside parties courteously and effectively.
- Respond promptly and thoroughly to a high volume of email correspondence.
- Develop and maintain positive relationships with business associates and clients.
- Consistently and accurately update the internal case management system and all client systems.
- Review title reports and recorded documents.
- Provide exceptional customer service at all levels of client interaction.
- Proofread legal documents as required.
- Support attorneys in a high-volume, time-sensitive environment.
- Provide regular client status updates and follow up on outstanding documents or services.
- Coordinate with title contacts to complete tasks such as recordings and retrieval of missing documents.
- Assist with check down of closed, active, and hold files, including forwarding invoices for foreclosure fees and costs, creating chronologies, and retrieving documents.
- Perform other duties as needed.
Requirements
- Minimum of an associate degree, Paralegal Certificate, or at least 2 years of experience as a legal assistant.
- Experience in default law firms preferred but not required.
- Excellent verbal and written communication skills.
- Commitment to providing exceptional customer service.
- Ability to communicate courteously and effectively with borrowers, clients, attorneys, internal staff, and outside parties.
- Ability to work congenially and collaboratively in a team environment.
- Exceptional organizational skills with the ability to multitask and adapt to continual change.
- High-level reading and writing skills for proofreading and editing.
- Proficiency in Microsoft Office suite.
- Skilled in internet research.
- Familiarity with case and document management software.
- Experience with client systems such as ICE/BKFS, Clairfire, Tempo, Vendorscape, or similar preferred.
- Good understanding of the legal foreclosure process preferred.
- Experience reviewing title reports and identifying chain of title issues preferred.
- Proficient operation of computer, fax machine, scanner, photocopier, typewriter, and telephone.
Physical Demands
- Frequent sitting for extended periods is required to perform essential job functions.
Work Environment
- Normal office conditions with quiet to moderate noise levels.
Compensation & Benefits
- Salary range: $20.00 - $26.00 per hour, commensurate with experience and accomplishments.
