Overview
Contract: Full-time, Independent Contractor
Location: Remote — we hire across multiple jurisdictions
Hours: US Eastern Time
The organization is seeking a Legal Practice Assistant to provide high-touch support to partners and attorneys. The role involves supporting attorneys in executing client matters, running the administrative engine behind the work, coordinating with stakeholders across the firm, and helping ensure both business and client goals are achieved.
The position also includes using AI and technology to improve day-to-day work, streamline processes, and support attorneys more efficiently.
Responsibilities
-
Partner support (multi-time-zone scheduling and coordination):
- Manage complex, multi-time-zone diaries—schedule, protect time, and resolve conflicts when two priorities collide.
- Handle inbox workflow with judgment: triage, surface priority items, draft first passes, and follow up on items that go quiet.
- Prepare meeting materials including meeting packs, briefing notes, agendas, and ensure follow-up actions are captured and tracked.
- Coordinate travel end to end, including flight changes and post-travel reconciliation.
-
Client-facing paperwork:
- Prepare, circulate, and track engagement letters through signature and return.
- Draft client and prospect correspondence to a standard that reflects the organization’s representation.
- Maintain accurate contact records and CRM entries.
-
Document management and execution support:
- Format documents, manage versions, perform comparisons, and prepare execution copies to firm standard.
- File documents so they are discoverable by others—not just the assistant.
-
Time and billing support (flagging only):
- Prompt and chase time capture.
- Flag billable items, disbursements, and expenses to Finance for processing.
- Maintain enough billing literacy to identify what matters (without performing billing processing).
-
Ways of working:
- Route any work belonging to the wider Legal Operations function through the Legal Operations intake channel rather than personal task lists.
- Work to the team’s published response standards.
- Use AI first and report faster ways you’ve found.
Requirements
- Experience: 5+ years supporting partners, senior fee earners, or C-suite executives, ideally in law or professional services.
- Language: Fluent English, verbal and written.
- Software & tools proficiency:
- Strong proficiency with MS Office
- Aderant or similar practice management software
- PowerBI or similar data analytics dashboards
- Claude, CoPilot, or similar AI tools
- Asana or similar project management tools
- Project and organizational skills:
- Excellent organizational and project management skills
- Ability to carry several workstreams without dropping detail
- Performance under pressure: Ability to remain poised under pressure, multitask, and prioritize effectively.
- Collaboration: Strong team orientation with a preference for collaboration.
- Systems experience: Experience with a practice management, billing, time-capture, or document management system—or demonstrated ability to learn a comparable system quickly.
