Overview
This role is for a seasoned case manager responsible for managing an assigned portfolio of California personal injury claims during the pre-litigation stage. You will help clients stay informed and follow through with treatment while keeping insurance follow-ups, documentation, and deadlines on track. The position includes day-to-day ownership and requires familiarity with U.S. personal injury (PI) fundamentals, with routine issues handled independently and appropriate escalation to attorneys.
Schedule: Monday–Friday, 9:00 a.m.–5:00 p.m. PST.
Responsibilities
- Move an assigned pre-litigation caseload toward resolution by prioritizing next steps, monitoring deadlines, and closing outstanding follow-ups.
- Provide ongoing updates to English- and Spanish-speaking clients regarding treatment progress and case status using clear, empathetic communication and consistent follow-through.
- Coordinate with medical providers to help clients attend appointments and complete recommended care, including MRIs, injections, and follow-up treatment.
- Review medical records and track treatment progress to identify treatment gaps, missing documentation, and issues that could delay case preparation.
- Obtain claim updates from insurance carriers; ensure policy searches are completed and document coverage information, policy limits, and uninsured/underinsured motorist coverage.
- Identify when treatment authorization is needed and coordinate it within attorney-approved protocols; escalate legal or medical decisions to supervising attorneys.
- Resolve routine case issues independently and flag liability concerns, delays, or potential settlement obstacles that require attorney review.
- Maintain accurate, current case files in Maris Case (cloud-based case management), ensuring case status, documentation, and next steps are easy to track.
- Collaborate with attorneys, case manager assistants, medical records personnel, and demand preparation staff to keep lien tracking, demand workflows, and pre-litigation settlement coordination on track.
Requirements (Must-Have)
- Prior hands-on experience independently managing U.S. personal injury cases through pre-litigation, with reliable follow-through and minimal need for supervision or foundational training.
- Strong practical knowledge of California personal injury claims, including Proposition 213, liability, and settlement procedures, without needing explanations of basic concepts.
- Fluency in Spanish and proficiency in English for direct client communication.
- Experience coordinating medical treatment (including MRIs and injections), reviewing medical records, tracking treatment progress, and identifying gaps in care.
- Experience communicating with insurance carriers and handling policy searches, including a strong understanding of bodily injury claims, coverage limitations, policy limits, and uninsured/underinsured motorist coverage.
- Familiarity with lien tracking, demand preparation workflows, and pre-litigation settlement coordination, along with good judgment about when to escalate legal or medical decisions to supervising attorneys.
- Strong organization, documentation, and deadline management skills, including the ability to prioritize competing case needs; experience with cloud-based legal case management software and ability to learn Maris Case.
Preferred Qualifications (Nice to Have)
- Previous hands-on experience with Maris Case.
- Experience preparing attorney-ready case summaries or demand-support packages.
- Experience improving case-tracking systems, documentation templates, or client follow-up workflows.
