Overview
This is a full-time contractor role supporting Personal Injury Case Managers throughout the pre-litigation process. Responsibilities include routine administrative follow-through, client communication, and coordination to help keep treatment, requests, and case progress from becoming bottlenecks across a high-volume caseload.
Responsibilities
- Keep assigned pre-litigation cases progressing by tracking daily priorities, completing follow-ups, and supporting Case Managers with outstanding action items.
- Communicate clearly and empathetically with English- and Spanish-speaking clients about case updates, medical appointments, and treatment progress.
- Coordinate medical appointments, referrals, MRIs, injections, and other recommended treatments under the direction of the assigned Case Manager.
- Follow up to ensure clients stay on track with recommended treatment, including flagging missed visits or treatment gaps.
- Maintain complete case files by requesting medical records, billing statements, treatment updates, and other outstanding documentation from providers.
- Move insurance-related follow-ups forward through policy searches, coverage verification, and communication with insurance adjusters.
- Maintain reliable case histories using accurate notes, organized documentation, and current task updates in the firm’s cloud-based case management system.
- Monitor pending tasks and unanswered requests to identify potential delays and escalate concerns to the assigned Case Manager.
- Provide the demand preparation team with organized, accessible medical records, bills, insurance documentation, and supporting case materials.
- Coordinate case handoffs across Case Managers, attorneys, medical records staff, and demand preparation personnel.
Requirements (Must-Have)
- 1–3 years or more of hands-on U.S. personal injury case management experience. Direct personal injury experience is required; general administrative experience alone is not sufficient.
- Previous experience supporting California personal injury cases.
- Bilingual English and Spanish, with strong written and verbal communication skills and an empathetic, professional approach to injured clients.
- Working knowledge of personal injury workflows, medical treatment coordination, and insurance claims, including experience communicating with clients, medical providers, and insurance representatives.
- Experience using legal case management software to maintain accurate case notes, documents, and follow-up tasks.
- Strong organization and follow-through, with the ability to prioritize multiple cases, resolve routine administrative issues, and work remotely with minimal supervision.

- Pre-litigation experience supporting Case Managers with large caseloads.
- Familiarity with California-specific personal injury concepts, including Proposition 213.
- Experience retrieving medical records, requesting billing documentation, and supporting demand preparation.
