Overview

This role independently manages consumer title curative files, analyzes title defects and clearance documentation, and helps move files toward closing. Responsibilities include applying title underwriting standards and insurer guidelines, working with underwriters to resolve issues, and keeping internal and external customers informed of file status and closing requirements.

Success in this position is supported by organized file ownership, strong judgment, accurate documentation, and the ability to manage competing requests—while knowing when to seek a second opinion.

The active pipeline target is 65–75 files per person.

Responsibilities

  • Review files to identify title defects, required clearance evidence, and items requiring escalation.
  • Analyze clearance documentation, including divorce documents, probate, trusts, powers of attorney, and corporate entity documents.
  • Independently manage an assigned pipeline, tracking next actions and deadlines; advance or clear files with accurate documentation and complete notes.
  • Communicate and collaborate with underwriters; seek a second opinion or approval when additional review is required.
  • Prepare deeds, affidavits, correction documents, state-specific deed transmittal forms, title commitments, and commitment markups.
  • Order deeds from title partners and vendors (where applicable) and review vendor-prepared deeds for accuracy.
  • Review and approve surveys and underwrite applicable endorsements in accordance with insurer guidelines and applicable approval requirements.
  • Follow client requirements for timelines, coverage, and documentation.
  • Communicate what must be paid, signed, and recorded at closing.
  • Maintain clear file notes and provide timely updates to internal and external customers, including unresolved requirements, progress, and next steps.
  • Prioritize file work and manage follow-ups across chat messages, phone calls, email, and urgent closing escalations.
  • Learn AI-enabled workflows as they are introduced, and double-check generated requirements and answers against source documents and applicable guidance.

Requirements

  • Demonstrated experience independently handling complex title curative files, including probate, trusts, powers of attorney, and entity documents. File complexity and independent judgment will be evaluated rather than a fixed number of years.
  • Ability to analyze and evaluate legal and public-record documents as they relate to title.
  • A repeatable approach to organizing an active file pipeline, tracking deadlines, and following up on outstanding items.
  • Ability to prioritize competing requests, adapt to changing workflows, and communicate potential delays or unresolved issues promptly.
  • Clear written and verbal communication, including professional phone etiquette and customer service.
  • Judgment to recognize uncertainty, seek help before making an unsupported decision, and document outcomes.
  • Proficiency with Microsoft Office and Excel.
  • Familiarity with AI-enabled workflows and an approach to verifying outputs.
  • Careful handling of confidential information in a time-sensitive environment.
  • ResWare and multi-state experience is helpful but not required.
  • High school diploma or equivalent is required; Bachelor’s degree is a plus and/or Law Certification is a definite plus.

First 30 Days

  • Review an assigned set of files and document title defects, required clearance evidence, and escalation needs.
  • Advance or clear an agreed workload with accurate documents and complete file notes, working toward the target active pipeline of 65–75 files per person.
  • Independently maintain timely stakeholder updates and closing requirements on assigned files.
