Overview

This Operations Associate role involves securing court hearing coverage on short notice by managing a live portfolio of hearings and coordinating with attorneys via phone, text, and email. The position combines scheduling, real-time negotiation, and high-touch communication to ensure hearings are covered before deadlines while keeping clients informed.

Responsibilities

  • Own a live book of open court hearings and work them daily by phone, text, and email to secure attorney coverage before the hearing date.
  • Negotiate fees in real time, handle counteroffers, and extend above-standard offers when a market is tight—while protecting margin and reaching “yes.”
  • Triage a fast-moving pipeline by prioritizing competing hearings and making sound judgment calls quickly; clearly explain reasoning to the team.
  • Handle last-minute changes, cancellations, and urgent coverage gaps with a solutions-first mindset.
  • Onboard and support attorneys by walking new attorneys through how coverage works, answering questions, and serving as the primary go-to contact.
  • Keep law-firm clients informed by updating hearing status to build trust and prevent surprises.
  • Maintain accurate records by logging activity, confirming assignments, and keeping the pipeline up to date.
  • Identify recurring coverage gaps and contribute ideas in daily huddles and team meetings to improve the system.

Requirements

  • 1+ year in a role requiring high-volume phone outreach or direct negotiation (examples: inside sales, SDR/BDR, account management, collections, dispatch, scheduling, or high-touch customer service).
  • Strong verbal and written communication; comfortable and efficient on the phone.
  • Highly organized with the ability to manage many open items at once without missing details.
  • Calm and decisive under deadline pressure; able to make the call and keep moving.
  • Tech-comfortable and quick to learn new platforms.
  • High school diploma or equivalent.

Preferred Qualifications

  • Experience in staffing, dispatch, gig-platform operations, or a high-volume call-center/outbound environment.
  • Track record of hitting or exceeding KPIs in a metrics-driven role.
  • Familiarity with CRM or scheduling tools.
  • Exposure to legal, court, or collections operations.
  • Comfortable on Mac OS and Google Workspace.

Compensation & Benefits

  • Pay: $20–$22/hour (full hourly range; no sales commission). Starting rate depends on experience.
  • Growth from within: promotions toward defined senior specialist and supervisor roles based on performance.
  • Benefits:
    • Health, Dental, and Vision Insurance
    • 401(k) with Company Matching
    • Paid Time Off
    • 7 Paid Company Holidays
