Legal Billing Specialist (P2)

Overview

A full-service law firm specializing in corporate transactions, securities, litigation, investments, and regulatory matters is seeking a full-time Legal Billing Specialist. The firm supports clients across multiple U.S. offices including New York, New Jersey, Philadelphia, Kansas City, Washington D.C., and Texas. This remote role offers an opportunity to manage high-volume billing workflows and ensure accuracy and timeliness in billing operations.

Responsibilities

• Coordinate monthly billing cycles by confirming time entries across all timekeepers
• Prepare, review, and finalize pre-bills before submission
• Ensure invoices are accurate, compliant, and meet client-specific requirements
• Submit invoices on time following strict billing guidelines and deadlines
• Open and maintain new matters with correct billing structures and rates
• Support reporting and tracking of billing performance metrics
• Process high-volume insurance defense invoices (350–420/month) adhering to carrier guidelines
• Ensure documentation, approvals, and expense rules are met for insurance defense billing
• Identify and resolve billing issues before submission to prevent reductions
• Manage submissions across multiple e-billing platforms
• Handle corporate and transactional billing including recurring and ad hoc requests
• Execute urgent invoices related to deal closures or settlements
• Manage flat-fee billing arrangements and custom billing structures
• Monitor incoming payments and deduction notices
• Review and track invoice reductions (50–100/month)
• Maintain and update accounts receivable tracking systems using Excel functions (VLOOKUP/XLOOKUP)
• Provide summaries of outstanding issues and upcoming deadlines
• Research invoice statuses through e-billing portals
• Manage accounts payable inbox and process expense requests
• Input and code expenses accurately into internal systems
• Ensure proper storage and accessibility of receipts and documentation
• Upload payment data into systems such as Bill.com
• Assist with processing and escalating payment requests

Requirements

• Proven legal billing experience with a strong understanding of billing workflows in a legal environment
• Familiarity with insurance defense billing, carrier rules, and e-billing systems is highly preferred
• Detail-oriented with the ability to spot inconsistencies and prevent costly errors
• Strong prioritization skills to manage volume and urgency simultaneously
• Ability to work independently and execute tasks without constant oversight
• Proficiency in Microsoft Excel, including VLOOKUP/XLOOKUP and data tracking
• Clear and proactive communication skills aligned with team expectations

Preferred Qualifications

• Experience with billing platforms such as Carrot
• Familiarity with e-billing platforms including LegalX, Legal Exchange, Tymetrix 360, CounselLink, Legal Tracker, and LSS
• Experience with Bill.com for accounts payable and payment processing

• Annual salary range: $9,600 to $14,400
