This role supports a law firm’s California Workers’ Compensation practice. You will manage routine case management matters independently, coordinate medical treatment, and maintain clear communication with injured workers. An existing administrative team handles filings and back-office tasks, while you focus on client communication and ongoing case progression.

Responsibilities

  • Manage California workers’ compensation cases through independent day-to-day coordination, timely follow-ups, and clear next steps.
  • Provide injured workers regular case updates in English and Spanish; answer routine questions and conduct empathetic but persistent follow-up regarding treatment participation.
  • Coordinate medical care by managing appointments, treatment plans, referrals, and follow-ups with healthcare providers.
  • Monitor for treatment delays by tracking authorization requests, utilization reviews, and outstanding responses; escalate unresolved barriers to attorneys.
  • Advance claim matters toward resolution through consistent communication with insurance adjusters, claims administrators, medical providers, and attorneys.
  • Prepare, review, and organize claim forms, medical reports, and supporting records so documentation remains complete and accessible.
  • Keep deadlines, hearings, and required filings visible and on track in accordance with California workers’ compensation procedures.
  • Assist attorneys with case preparation by gathering documentation, identifying missing records or unresolved issues, and coordinating necessary follow-ups.
  • Maintain accurate case information in the firm’s cloud-based system, including communications, treatment status, deadlines, and outstanding actions.
  • Coordinate with the administrative support team on filings and back-office work while retaining ownership of client communication and overall case progression.

Requirements (Must-Have)

  • Prior hands-on U.S. personal injury case management experience, with responsibilities beyond administrative filings.
  • Workers’ compensation case management experience and practical knowledge of California claims procedures, insurance claims administration, and Workers’ Compensation Appeals Board (WCAB) processes.
  • Understanding of medical treatment coordination, authorization requests, utilization review, and claims follow-up.
  • Strong communication skills in English, including the ability to explain case updates clearly and communicate empathetically with injured workers.
  • Availability to work during Pacific Time business hours.

Preferred Qualifications (Nice to Have)

  • Direct experience independently managing California workers’ compensation cases.
  • Experience using cloud-based legal case management software.
  • Experience working alongside a dedicated filings or back-office team.
