Overview

This Operations Associate role involves securing attorney coverage on short deadlines for upcoming court hearings. You will manage a live portfolio of open hearings and coordinate with attorneys and law-firm clients using phone, text, and email to ensure coverage is confirmed before the hearing date.

Responsibilities

  • Maintain ownership of a live book of open court hearings and work them daily via phone, text, and email to secure the right attorney.
  • Negotiate fees in real time, handle counteroffers, and extend above-standard offers when a market is tight—protecting margin while reaching “yes.”
  • Triage a fast-moving pipeline by prioritizing competing hearings, making quick, sound judgment calls, and clearly explaining decisions to the team.
  • Handle last-minute changes, cancellations, and urgent coverage gaps with a solutions-first approach.
  • Onboard and support attorneys by walking through process and answering questions so they continue to accept coverage.
  • Keep law-firm clients updated on hearing status to build trust and prevent surprises.
  • Keep data accurate by logging activity, confirming assignments, and maintaining pipeline records.
  • Identify recurring coverage gaps and share improvement ideas during daily huddles and team meetings.
  • Measure performance against daily operational metrics, including speed of coverage, dropped hearings, booking efficiency, and adherence to cost targets.

Requirements

  • 1+ year in a role requiring high-volume phone outreach or direct negotiation (examples: inside sales, SDR/BDR, account management, collections, dispatch, scheduling, or high-touch customer service).
  • Strong phone and written communication skills.
  • Highly organized with the ability to manage many open items without missing details.
  • Calm and decisive under deadline pressure.
  • Comfortable and quick to learn new platforms.
  • High school diploma or equivalent.

Preferred Qualifications

  • Experience in staffing, dispatch, gig-platform operations, or a high-volume call-center/outbound environment.
  • Track record of hitting or exceeding KPIs in a metrics-driven role.
  • Familiarity with CRM or scheduling tools.
  • Exposure to legal, court, or collections operations.
  • Comfort with Mac OS and Google Workspace.

Compensation & Benefits

  • Pay: $20–$22/hour (full hourly range; there is no sales commission). Starting rate depends on experience.
  • Benefits:
    • Health, Dental, and Vision Insurance
    • 401(k) with Company Matching
