Overview

The organization is seeking an Operations Manager, Legal Records & Compliance to create and maintain the infrastructure that supports legal compliance, contractual protection, and operational soundness. This role serves as the organizational authority on administrative compliance and documentation standards.

This role is remote eligible. Candidates must be physically located in the US and eligible to work in the US without sponsorship.

Responsibilities

Contract Management

  • Maintain a centralized contract repository and ensure all agreements are current, accessible, and properly executed
  • Track key contract milestones, including expiry dates, renewal windows, and performance obligations; proactively alert stakeholders
  • Coordinate with legal counsel on contract reviews

Business Records Management

  • Design and maintain a comprehensive records management program governing the creation, organization, retention, and disposal of organizational documents
  • Ensure records practices comply with applicable legal, regulatory, and audit requirements
  • Maintain the records retention schedule with input from department leaders
  • Serve as the point of contact for business records requests, including responses to audits

Business Registrations & Licensing

  • Own all business entity registrations, including state and local filings and registered agent relationships
  • Track and manage business licenses, permits, and regulatory registrations, ensuring timely renewals and no lapses in good standing
  • Maintain an organized inventory of active registrations, licenses, and permits with renewal calendars and ownership assignments
  • Support the Housing team as properties transition into the organization’s Housing portfolio

Organizational Administrative Operations

  • Develop and maintain policies and SOPs
  • Maintain enterprise-wide operational documents and collaborate across the organization to ensure documents are accurate and updated
  • Manage the library of organizational resources
  • Collaborate with the Fraternity team to ensure that records are incorporated into the Fraternity’s historical archives when appropriate

Qualifications

Required qualifications

  • Bachelor’s degree or equivalent experience
  • 2+ years of hands-on experience in operations, contract administration, or a related administrative compliance function
  • Exceptional organizational skills with meticulous attention to detail
  • Proficiency with Microsoft Office and document management systems

Preferred qualifications

  • Experience in a membership-based organization, nonprofit, or association
  • Experience with Salesforce reporting and dashboards
  • Experience leading change management and training staff
  • Familiarity with multi-state business registration requirements
  • Experience supporting legal, compliance, or executive functions

Compensation & Benefits

  • Status: Full-Time / Exempt
  • Salary: $55,000–$60,000
